For digital responses, survey respondents can simply scan the QR code with their smartphone or tablet, which directs them straight to the questionnaire. Misconception #3: The Doctor 360 system uses a standardised feedback questionnaire for all roles.

Misconception #4: Only one colleague can be appointed to distribute feedback questionnaires to patients.

Truth: You can choose more than one colleague to help with the process, if preferred.

We appreciate that it is not always feasible for one person to act as your appointee, especially in environments where colleagues may work different shifts. Therefore, you can select more than one colleague to assist in the distribution of questionnaires to make the process more efficient. Each colleague involved in this process will need to sign a declaration form indicating the number of questionnaires they have collected.

Misconception #5: Once you are assigned to an exercise, you must gather all feedback within a timeframe set by the system.

Truth: You can keep your colleague or patient feedback exercise open for as long as you need.

While it is important to ensure that feedback reports are completed in alignment with appraisal or revalidation schedules, the system itself does not impose a deadline for report completion. This flexibility allows you to collect feedback at your own pace and convenience. Additionally, you have the option to decide whether to begin with colleague feedback or patient feedback first, allowing you to tailor the process to your own professional workflow and preferences.

Misconception #6: A Doctor 360 colleague and patient feedback report must be released with our required minimum of feedback from 12 colleague and 17 patients.

Truth: A report can be released with an absolute minimum of six colleague and seven patient feedback forms, if required.

The standard requirement typically necessitates more comprehensive feedback to ensure the validity and reliability of the report. However, recognising the varying circumstances and roles of medical practitioners, an exception can be made. With an absolute minimum of feedback – consisting of three peer and three junior colleague forms, alongside seven patient forms – a report may still be produced. This reduced feedback requirement must be accompanied by a signed Responsible Officer (RO) form, acknowledging the deviation from standard requirements. While this report is not considered fully valid, it offers a solution for those unable to meet the usual criteria, ensuring that the necessary feedback can still be documented and used effectively.
